Implementation

 The Personal Touch
Once the training of the customer’s project team is complete, the next key project stage is that of Implementation. This stage is the foundation of the success of de Facto's S5 accounting software solution. It enables us to gather the critical information we need to ensure that the solution is optimised for your business, and that you receive the maximum payback from our premier business management solution.

The first phase of Implementation is the configuration and installation of the software. This will enable the customer to begin their internal Business Process Test Cycle and data build up (although certain key data may be transferred from an existing system if applicable / required). After this the customer is then in a position to use the product in a 'Live' environment, and gain immediate benefits from the

Configuration
The Implementation stage initially focuses on the Configuration Phase. This phase enables the customer Project Team (with their understanding of their business and its' objectives) and who by now have a thorough understanding of the de Facto S5 product capabilities, to work most effectively with the de Facto Project Manager. The key outcome of the process is to define and set the configuration parameters of the product to assimilate the customer's business requirements and workflow. Once this stage is complete, the de Facto solution is ready for installation.
  Implementation - Services

This Configuration stage is driven throughout by the De Facto Project Manager. The Project Plan for the remaining stages will also be reviewed with the customer Project Team, and responsibilities agreed, and decisions regarding further activities taken.

The Configuration Workshop embraces the following standard areas:
Processing Procedures
Administration Parameters
Financials Configuration
Logistics Configuration

and optionally the following additional areas:
Production Configuration
Job Costing Configuration
CRM Configuration
Data Conversion Requirements

It will also define the need for any customised documents and MIS Reporting requirements in addition to those supplied as standard within the de Facto solution. Once configured, the system is now 'Business Ready'.

Business Process Test Cycle
The next stage is the Business Process Test Cycle which enables the Project Team to use the configured software against a business process model(s) and to test all the key processing areas with representative data from the business. The example data from the business is normally a minimal volume which covers the required processing areas.

Any user training should take place during this phase. If advantageous, selected users can then take part in this test cycle.

The Test Cycle should also include test reporting and if necessary any customised documents, EDI messages etc. This activity should replicate all current business flows and any new business objectives and processes, and will normally include assistance from the De Facto representative. Depending on the data required and the variability of this data, it may also include early trial data conversions, for example, of static details such as Customers and/or Suppliers.

Migration to Live Environment
As our Implementation method uses both real and representative data from your business during the Business Process Test Cycle, we are able to take the fear factor out of going live. With De Facto, going live is essentially just an increase in volume through already proven processes, so we don't have the 'will it work, or won't it' anxieties that other systems produce.

This final stage of moving towards a Live environment can include assistance from a De Facto representative if required. Again, because at this stage the process is already proven, you are unlikely to need that assistance, therefore saving you time and money. There may also be a requirement for live data conversion and on-site support during the initial days of the system running.
